Rename the RFP-Shortlist-Submission-Form.xslx file to include the client name
Example: "RFP-Shortlist-Submission-ABC-Company.xlsx"

Mark an "X" in the "Add" column for each resource that will be added to the RFP/Shortlist Portal

If you have a new resource to add, insert a new line in the appropriate section with the intended placement order. Highlight that line in yellow.

Avoid renaming line items unless there's a reason to do so. If you do change the label of a resource, highlight that text in red

Send an Appian ticket to Design for use on the RFP/Shortlist Portal:

Use the following Subject line when initializing the request:
"RFP Submission Request: Client Name, [GB, GRS, or GBRS], [Due Date]".
Example: RFP Submission Request: ABC Company, GBRS, August 17
Attach the completed RFP Submission Form (renamed to include the client name)

Email the custom resources to the assigned Digital Solutions partner (determined after receiving the initial submission request).
Try to send update requests in a consolidated email when possible.
Digital Solutions will respond to each email to validate progress--if you want less responses, email less update requests.
NOTE FOR SUBMITTER: Remember, users downloading your custom resources will be seeing the file name!
Be mindful of that from the user's perspective. Make naming intuitive and clear.
Digital Solutions doesn’t set up the Vanity URLs up on request of a portal build. We use what is referenced in the RFP Spreadsheet to “bind” an already ordered/existing Vanity URL to the build RFP/Shortlist Portal. These must be pre-ordered.
Dozens of Vanity URLs are ordered in batches at the beginning of the year. This ensures we have a batch of them in reserve so that we don’t have to risk delays on urgent turnaround builds.
Vanity URLs are only ordered for English (manulife.com/### versus manuvie.com/####). Requests for French RFP/Shortlist Portals must be identified ASAP, even before an RFP Submission spreadsheet is sent to Digital Solutions, so that we can put in the order for the equivalent “manuvie.ca/####”.
